Retention period
DigiOnline does not retain your personal data longer than strictly necessary for the purpose for which it was collected. We apply the following retention periods:
• Contact form data: maximum 12 months after handling
• Client data with active agreement: for the duration of the agreement plus 2 years
• Invoice data: 7 years (legal fiscal retention obligation)
• Website analytics and log files: maximum 26 months
After expiry of the retention period, your data will be securely deleted or anonymized.
Sharing with third parties
DigiOnline only shares your personal data with third parties if this is necessary for the execution of our agreement with you or to comply with a legal obligation. We may use the following third parties:
• Hosting providers for hosting our website and applications
• Microsoft (Azure, Microsoft 365, Dynamics 365) for cloud services as part of our service delivery
• Accounting software for invoicing
• Email service providers for business communication
We enter into a data processing agreement with companies that process your data on our behalf. DigiOnline never sells your data to third parties.
Cookies and website analysis
Our website uses technically necessary cookies for the proper functioning of the website (such as session cookies and language preferences). These cookies are necessary and do not require consent.
DigiOnline does not use tracking cookies, advertising cookies or cookies from social media networks, unless expressly stated otherwise. We do not use Google Analytics or similar external analytics tools that transfer personal data to third countries.
Server log files are maintained for security purposes and contain IP addresses, browser types and visited pages. These are stored for a maximum of 26 months.
Security
DigiOnline takes the protection of your data seriously and takes appropriate technical and organizational measures to prevent misuse, loss, unauthorized access, unwanted disclosure and unauthorized modification. These include:

• Secured server environments with regular updates
• Access restriction to personal data on a need-to-know basis

Despite appropriate security measures, DigiOnline cannot guarantee that unauthorized third parties will never gain access to your data. DigiOnline is not liable for damage resulting from unauthorized access by third parties, insofar as DigiOnline has demonstrably taken appropriate measures.

Liability
DigiOnline makes every effort to process your personal data carefully and in accordance with the GDPR. However, DigiOnline is not liable for:
• Damage resulting from the provision of incorrect or incomplete data by you
• Damage resulting from unauthorized access by third parties despite security measures taken
• Damage resulting from disruptions, outages or security incidents at third-party service providers (including Microsoft, hosting providers and internet service providers)
• Indirect damage, consequential damage or loss of profit in connection with the processing of personal data
The liability of DigiOnline is at all times limited in accordance with the provisions of our General Terms and Conditions.

DigiOnline reserves the right to modify this privacy statement at any time. Changes will be published on this page. We therefore advise you to consult this statement regularly. By continuing to use our services after modification of this statement, you agree to the amended conditions.
